    The Michigan Maritime Museum in South Haven, Michigan is seeking an event coordinator who can assist us with our growing organization. As a museum first, we are looking for an individual who can help us support our mission related events and well as private events on our campus.

    The primary focus of this position is to oversee the organization’s internal event planning and external event preparation and facilitation. A successful candidate is well organized, able to prioritize tasks, think creatively to expand the number of events, and communicate effectively with a wide range of visitors and volunteers. This individual will directly impact the customer experience at the museum and play an instrumental role in the museum’s ability to serve its customers and guests. Flexible hours, weekends and evening work is required. This role works closely with other Museum administrative staff and reports to the Executive Director.

    Essential Duties and Responsibilities include but are not limited to: Under the general direction of the Executive Director, the Event Coordinator organizes a variety of aspects for museum and private events at the Michigan Maritime Museum.

    • Meet with and conduct site visits with potential clients.
    • Send out necessary contracts, confirmations, and other information in a timely manner
    • Follow up with event rental clients as needed
    • Prepare files for each event including contracts, notes, invoices, and confirmation of payment in full
    • Facilitate the scheduled events
    • Responsible for ensuring the space rentals are clean and set-up prior to and after each event
    • Assist and serve as the contact for guests for the duration of their event
    • Assess areas of opportunities to expand the number and variety of private events
    • Lead the planning and preparation of large-scale museum events
    • Manage the volunteer coordination for museum special events

    This position requires the ability to do one or more of the following throughout the day: sit, stand, and walk, to lift up to 30 lbs. occasionally, do close work in an office environment using a computer monitor and perform repetitive hand movements.     Education/Experience:

    Any combination of education and experience providing the knowledge for successful performance would be qualifying. Minimum employment standards are:

    • High school diploma or higher
    • Program or event planning is preferred
    • Excellent communication skills – verbal and written
    • Creative problem-solving skills
    • Basic accounting, record keeping, and computer skills
    • Comfortable working with Google Suite, Microsoft Office Suite, Canva, and scheduling software
