The Human Resources (HR) Generalist will perform administrative tasks and services to support effective and efficient operations of the City of South Haven’s HR department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assists HR Director in reviewing employment applications, scheduling interviews, and coordinating pre-employment screenings.
- Assists in the onboarding process, including collecting new hire paperwork and setting up new hires in the City’s performance review system, learning management system, and employee benefit portal.
- Tracks completion of mandatory courses in the learning management system and sends reminders of approaching due dates.
- Tracks required certifications and licenses for City staff.
- Maintains and updates employee records in compliance with City policies and legal requirements. Completes records audit on an annual basis.
- Works in partnership with the Payroll Assistant to ensure all new and current employees are set up in the payroll, timekeeping, and Human Resource Information System correctly. Removes employees from appropriate systems upon separation of employment.
- Assists with planning and execution of special events, such as benefits enrollment, training sessions, employee recognition.
- Sits on the Social Activities Committee, helping to plan and execute employee events throughout the year.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc. Refers more complex questions to HR Director.
- Maintains the integrity and confidentiality of HR files and records.
- Assists HR Director and Payroll Assistant with gathering and organizing data for union negotiations.
- Assists staff at South Haven Area Emergency Services with employee benefit enrollments.
- Other duties may be assigned to meet business needs.
MINIMUM QUALIFICATIONS
Education and Experience:
Associate’s degree in Human Resources, Business Administration, or related field required. Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Prior HR experience in a similar role or internship in HR is desirable.
Necessary Knowledge, Skills and Abilities:
Strong organizational and time-management skills. Must be detail oriented. Proficient in Microsoft Word, Excel, and PowerPoint. Ability to quickly adapt to changing environments and technology. Must possess excellent written and verbal communication skill. Must possess interpersonal, negotiation, and conflict resolution skills. Ability to act with integrity, professionalism, and confidentiality.
LICENSING AND CERTIFICATION
SHRM-CP or HRCI PHR certification upon hire preferred. Certification required within two years of hire.
TOOLS AND EQUIPMENT USED
Desktop computer or laptop utilizing various programs including, but not limited to, Microsoft Office Suite, BS&A, HRIS, learning management program, performance review program.
PHYSICAL DEMANDS
Physical ability to frequently sit in one position for extended periods of time. Required to spend long periods of time using a computer, typing and/or using a computer mouse. Must be able to lift at least 20 pounds.
